Short description of collection:

The American Physical Society is a professional society of educators, researchers, and students of physics and related fields established in 1899 to promote the advancement and diffusion of the knowledge of physics. It publishes The Physical Review, Physical Review Letters, Reviews of Modern Physics, and other publications. It is a founding member society of the American Institute of Physics. The bulk of this collection consists of the minutes of both General Sessions and Executive Council meetings of the APS, and includes the only known complete set of minutes for both for the years 1899-1942. Of particular interest in the council minutes are the lists of nominations, newly elected members, elected honorary members, resignations, and deaths of members. This collection consists of two accessions (1970 and 1993, respectively) that were reprocessed as a whole in 1995.

History of the American Physical Society

This professional society of educators, researchers, and students of physics and related fields was established in 1899 to promote the advancement and diffusion of the knowledge of physics. The goal has been pursued through publication of The Physical Review, Physical Review Letters, Reviews of Modern Physics, and other publications, organization of meetings which are described in the Bulletin of the American Physical Society, and more recently by a variety of educational outreach programs.

The American Physical Society (APS) was a founding member society of the American Institute of Physics. APS was incorporated in the state of New York, and until 1993 was headquartered in New York City. In 1993 the society moved its executive offices to the American Center for Physics in College Park, Maryland. Its editorial offices are in Ridge, New York.

Membership is open to everyone who is interested in the advancement of physics. In 1997 there were more than 41,000 members. Members may be elected to fellowship status by the society based on their significant contributions to the field of physics.

The society is governed by a council which is headed by an elected president. The council sets policy; approves the annual budget and sets membership dues; elects members of the Executive Board; elects the operating officers including the executive officer, treasurer, and the editor-in-chief; elects fellows; establishes awards and prizes; and proposes and approves amendments to the constitution and by-laws. The executive board of the council currently meets five times a year, and its functions include implementation of council policies, oversight of the operations of the society, review of the treasurer's budget recommendations, and authorization of public policy. The day-to-day operations of the society are carried out by the paid staff; however, much of the society's work is done by volunteers through its subunits which are dedicated to a particular discipline of physics (Divisions), a cross-disciplinary topic (Forums), or a specific region of the country (Sections).

Publications of the society have evolved over the years. The early Bulletin reported the minutes of the first 14 membership meetings (1899-1902). That publication was discontinued, and in 1903 the minutes and abstracts of presented papers began to be published in the Physical Review. The Physical Review was published by Cornell University from 1893 until 1903, and until 1913 APS and Cornell published it cooperatively. At that point, APS officially took over its financial operation and continues to publish it today in five sections. A new series of the Bulletin was begun in 1925.

Scope and Contents of Collection

The bulk of the primary accession (Subgroup I) consists of the minutes of both General Sessions and Executive Council meetings of the APS, and includes the only known complete set of minutes for both for the years 1899-1942. Of particular interest in the council minutes are the lists of nominations, newly elected members, elected honorary members, resignations, and deaths of members. The general meetings minutes do not include abstracts of papers presented. Those may be found in the published proceedings in the Physical Review.

Two versions of the minutes from the first 93 meetings (1899-1920) exist. The first is the published version which can be found in the early issues of the Bulletin of the American Physical Society and, later, in the Physical Review. The second is a later typed version which differs slightly because of an attempt to recover information missing from the original published versions and to place all of the minutes in a consistent format in response to a resolution of the council on November 26, 1920. The 1921-1942 minutes in this accession are the secretary's approved version which are also published in the Physical Review.

The primary accession (Subgroup I) also includes early issues of the Bulletin of the American Physical Society (1900-1902) which, in addition to meeting minutes, contain presidential addresses, abstracts of presented papers, membership lists, andconstitution and by-laws. The Bulletin was discontinued in 1902, and this information was subsequently published in the Physical Review beginning with the March 1903 issue. APS resumed publication of the Bulletin in 1925; however, it then published announcements, programs, and abstracts, but not meeting minutes. There are two bound volumes of the 1901-1902 issues of the Bulletin, one of which is noted as the copy of Henry Crew and dated May 21, 1902.

Also included in this accession are two bound volumes of membership lists; constitutions and by-laws dated 1902-1912 and 1913-1920; samples of printed membership forms and stationery, 1918-1923; other random membership lists, 1920-1935; published reports of the Education Committee, 1922-1926; and printed programs for most meetings, 1925-1929, and for two meetings in 1939.

Between 1970 and 1992 several small additions to the collection were received and incorporated into Subgroup I, including accounting ledgers (1919-1956) which include records of income and disbursements though not always both for every year; six scrapbooks of APS printed materials (1916-1962) which contain samples of ballots, treasurer's reports, announcements, membership forms, etc.; photocopies of selected, published presidential addresses (1899-1973); audio-visual materials (1978); and three versions of the Report of the Study Group on Science and Technology of Directed Energy Weapons (1987).

The records from the 1993 accession (Subgroup II) are additions to the APS records held by the Niels Bohr Library. They cover the years 1943-1989 (bulk dates, 1958-1988) and consist of APS Executive Secretary, Financial and Central Office files. The records were selected at the file level by W.W. Havens, APS Deputy Secretary (1955-1966) and Executive Secretary (1967-1990), and they were pulled from over 200 boxes and file cabinets stored in the basement of APS's former New York headquarters.

Access to Collection

Permission of an officer of The American Physical Society is required for access to records less than 25 years old. Earlier records are open to qualified researchers.

Restrictions on Use of Collection

Use of primary source material in the Niels Bohr Library requires prior approval through an Application for Access, which includes a statement of research purpose and the names and addresses of two scholars as references. Provenance and Acquisition Information

The primary accession (Subgroup I) of this collection was received from the American Physical Society in 1970. Subsequent small accessions (accounting ledgers, scrapbooks, etc.), which are included in Subgroup I, were received between 1970 and 1992.

Subgroup II was accessioned by the Library in 1993. The records comprise 54 records cartons, and they were transferred to the Library as part of the preparations for the move of APS and the American Institute of Physics from New York City to new headquarters in College Park.

Processing Information

The primary accession was processed by Sandra Johnson in December 1995. The 1993 accession (Subgroup II) was processed, and the collection as whole was reorganized, by Kathy Goss in December 1995. The original version of the finding aid was revised in 1998.

In November 1995, the collection was reviewed for preservation, and steps were taken to preserve information that was on deteriorating paper by photocopying it onto acid-free paper. This included all of the council minutes and the first 18 general meetings minutes. From 1903 forward, all general meetings minutes are published in the Physical Review of which the Niels Bohr Library holds a complete set. All of the original minutes were retained for their intrinsic value; however, in order to preserve them, researchers are required to use the photocopies and published minutes. Also, a preservation copy of each of the early Bulletins has been placed in an acid-free envelope and folder. Additional copies for use have been marked as such. Extra copies of minutes and publications were returned to the American Physical Society for their use or disposal.

For the 1993 Accession (Subgroup II), records from different filing systems and time periods were mixed together when the boxes were packed, and the original order was lost. To make access easier, the records have been reorganized in a logical arrangement based on record type or function. The records were refoldered with existing labels transferred. However, this collection has not been fully processed.
