AIP Now Offers Online Meetings Registration

MELVILLE, NEW YORK, 29 July 2005 Following a rapid development process, the Circulation and Fulfillment Division of the American Institute of Physics has launched its new online meetings registration service. A key function of the new service allows attendees to register online in real time, with links between the online registration site and AIP’s membership database to provide immediate confirmation of membership or other factors affecting registration fees or benefits.

AIP developed the capability to process online registrations with multiple variables at the request of one of its newest distribution customers, the American Geophysical Union (AGU). AGU required multiple registration types based on membership type, days attending, products purchased, and guest attendance. The service ties all of this information to the individual’s existing account so that a society can track a member’s meeting attendance, along with their memberships, subscriptions, and contributions. The service allows for the processing and maintenance of nonmember registrations, as well.

“AIP’s capabilities in online meeting registration are now state-of-the-art, and we are pleased to offer them to any scientific society interested in outsourcing this function,” said Lori Carlin, AIP’s Director of Circulation and Fulfillment Services. “Our relational database is extremely flexible and has ample room for enhancements and growth. It’s also easily modified and has all the functionality necessary to handle any society’s meeting registration needs.”

“We are delighted with the AIP-AGU collaboration,” said Judy Holoviak, AGU Deputy Executive Director. “AIP learned about our concerns especially for serving members and nonmembers and handling meetings with multiple society sponsors; they offered imaginative solutions and delivered on schedule with very little lead time.”

Since 1919, the American Geophysical Union has supplied an organizational framework within which Earth and space scientists have created the programs and products needed to advance their science. AGU's mission is to promote the scientific study of Earth and its environment in space and disseminate the results to the public, to promote cooperation among scientific organizations involved in geophysics and related disciplines, to initiate and participate in geophysical research programs, and to advance the various geophysical disciplines through scientific discussion, publication, and dissemination of information.

AIP’s Circulation & Fulfillment Division performs all membership functions, including new member processing, renewal notice generation and distribution (both in print and online), dues processing, suspension and reinstatement programs, and publication fulfillment. AIP also offers a complete selection of subscription services, including demographic tagging and tracking of subscription history, claims, marketing efforts, customer service, and support for a variety of subscription models.
